Festival Administrative Assistant (Canada Summer Jobs)

This position will give the successful applicant the opportunity to experience a variety of aspects of arts management and festival production, and be mentored by a team of experienced Chutzpah staff. Applicants of all backgrounds are encouraged to apply.

POSITION: Full time (35 hours per week), 8 week contract position starting July 4, 2024 and finishing August 28, 2024. Your typical schedule will be Mondays through Fridays from 9am – 4pm at the Jewish Community Centre. There will be occasional evenings or weekend hours due to festival events, for which your schedule will be adjusted accordingly.

KEY AREAS OF RESPONSIBILITY: The Chutzpah! Festival administrative assistant supports the Artistic Managing Director and our team of marketing, production, and audience services staff with preparation of the festival, support of summer artistic residencies, and administration of the NRT's community rentals program.

Job duties include: 

  • Education and Youth Outreach - Make connections to educational and community organizations and track contacts; learn marketing and group sales processes and skills, including the creation of marketing materials and resource guides.

  • Artist Liaising - Support operations such as researching and confirming artist travel and accommodations, tracking hospitality needs, tracking artist contract documents, and assisting resident artists with workshops.

  • Fundraising - Assist with tracking donor and sponsor outreach, and liaise with local businesses to support fundraising initiatives.

  • Audience Services - Learn ticketing and web sales systems and assist with creation and testing of events in ticketing system, and compile information for show playbills and printed program guides.

  • Marketing - Support marketing team by compiling events descriptions, artist bios, photos, and videos, assist with social media schedule, assist with website updates.

  • Venue Community Rentals - Assist with preparation of form rental contracts and track client paperwork and invoices.

  • Special Projects - Student may engage in a project of special interest, such as creating and implementing a fundraising event, coordinating a public outreach event, developing support materials for patrons and artists with disabilities, or creating and implementing a social media program.

QUALIFICATIONS: 

  • Experience and/or education relating to performing arts administration and/or production, audience services, social media and marketing;

  • Proven communication skills, both oral and written, and a commitment to courteous and empathetic interactions with artists, team-mates, and the public;

  • Computer skills including social media platforms, ticketing platforms, some graphic design, and basic website management;

  • Strong interest in the performing arts and gaining knowledge and experience working in a fast-paced, eclectic, team-based environment.  

  • This is a Canada Summer Jobs funded position, and as such all applicants must be between 15 and 30 years of age. They must be legally entitled to work in Canada.

POSITION START DATE:  July 4, 2024 through August 28, 2024

WORK LOCATION: Norman & Annette Rothstein Theatre, 950 West 41st Avenue, Vancouver, BC. Some work may be done remotely and some may require visits to off-site venues. Drivers license/access to own car a plus.

COMPENSATION: $17.40 per hour
